Job Description

The ofice manager will support the CEO and staff through the execution of a variety of administrative functions as they relate to construction and development to ensure the smooth operation of the department.

Responsibilities

  • Activities include handling communications, compiling data, preparing reports and contract documents, record maintenance and acting as a department liaison.
  • Provides administrative support and assistance to CEO and field staff.
  • Coordinates and prioritizes those tasks to ensure timely completion.
  • Collects and reviews subcontractor documents including certified payroll reports, contracts, change orders, billings and other required information.
  • Collecting start up documents for new projects including all required billing documents from general contractor
  • Collecting supplier/subcontractor releases monthly
  • Setting up insurance for each job, tracking compliance
  • Varied HR tasks, as needed.
  • Prepares, composes, updates, monitors and edits a variety of internal and external correspondence, forms, reports, contract documents, qualification statements and project schedules.
  • Handles administrative requests for Superintendent.
  • Responsible for registration, tracking, compliance, and managing licensing needs for personnel across multi-state footprint.
  • Conveys requests of CEO to bring work to completion.
  • Liaison for department in handling subcontractor and vendor relations.
  • Tracks safety meetings and ensures the projects are OSHA complaint.
  • Responsible for weekly reporting coordination from job sites.
  • Prepares all Subcontracts and Purchase Orders and distribute for full execution.
  • Ensure subcontractors and suppliers provide all required certificates, lien waivers, disclaimers etc.
  • Follow-up on Subcontracts and Purchase Orders and track status.
  • Perform all activities required in the Change Order Process.
  • Assist in preparing closeout documents

 

Requirements

  • We are seeking a highly detail-oriented Administrative Assistant with 2-5 years’ experience in the construction/plumbing industry, who is focused, adaptable, and ready to hit the ground running!
  • In this hands-on role – you will be responsible for performing various administrative and reporting functions supporting the CEO and Project Manager in all aspects managing multiple commercial and residential plumbing projects.
  • Strong customer service and telephone skills including, but not limited to: presentation of a friendly, helpful demeanor; ability to obtain information as requested through phone calls; attention to caller requests and needs; and ability to courteously and conscientiously handle multiple callers.
  • Provide assistance with sourcing and researching plumbing supplies and subcontractors
  • Communicate between the CEO and Project Manager regarding any changes to scope, work, design, schedule, etc.
  • Maintain cloud-based and paper files and records as required for all aspects of the Legwork Plumbing
  • Motivation to independently solve problems and seek opportunities to improve the operation of the company
  • Assist in job costing and tracking project expenses
  • Typing skills of at least 40 wpm
  • A high school diploma or equivalent and at least two years of post-high school education or equivalent experience
  • Advanced knowledge of Microsoft Office Suite and cloud-based applications (i.e. Dropbox)
  • A valid driver license from the state of residence
  • Knowledge of Servicetitan software a BIG plus.
  • Experience in the construction industry (Plumbing referred)
  • Fully Remote (Office set up, computer, printer/scanner)
  • Occasional travel to project site location(s) and supply pick up may be required
